3. How we use business information
Ventra may use information for:
- creating and managing business accounts;
- verifying business identity, eligibility and compliance;
- providing marketplace, catalogue, order and booking functionality;
- processing orders, fulfilment, delivery coordination, returns and disputes;
- calculating settlements, commissions, refunds, taxes and other financial records;
- preventing fraud, abuse and unauthorized activity;
- maintaining security and application integrity;
- sending operational and account-related notifications;
- providing customer, business and technical support;
- meeting legal, tax, accounting and regulatory obligations; and
- improving and maintaining the service where applicable.
4. Customer and order information
When a business receives an order or booking, Ventra may provide the business with information necessary to fulfil that transaction. This can include relevant customer name, contact details, order contents, delivery or service information, instructions and status information.
Businesses must use customer information only for legitimate fulfilment, support, transaction, safety and legal purposes and must not misuse, sell or independently repurpose customer information.
5. Verification and KYC
Business onboarding may require GSTIN, PAN-related information, legal/business identity information and supporting KYC documents. These materials are used to establish eligibility, support compliance, reduce fraud and maintain marketplace safety.
Where the system supports hashing or masking of government identifiers, Ventra is designed to minimize retention of raw identifiers. Verification documents may be retained for the period reasonably necessary for account administration, compliance, disputes and legitimate operational requirements.
6. Payments, settlements and financial records
Ventra uses an online payment service provider for payment collection, payment verification and applicable refund processing. Ventra does not intend to store customers' full payment-card credentials as ordinary application data.
For businesses, Ventra maintains records such as order amounts, settlements, commissions, refunds, credits, deductions, taxes, ledger entries and payout-related information. Payment providers may process information necessary to complete transactions or settlements.
Financial and ledger records may need to remain after an account is closed for accounting, reconciliation, fraud prevention, dispute handling, tax, legal or regulatory purposes.
7. Third-party services
Ventra may use third-party service providers to operate the application and related services. Depending on the function, these may include:
- authentication and account services;
- cloud database and storage infrastructure;
- application-integrity and abuse-prevention services;
- mapping and location services;
- online payment and payout services;
- push-notification services; and
- other infrastructure or service providers required to operate Ventra.
These providers may process information on Ventra's behalf or independently where their own service is directly used. Their own terms and privacy practices may also apply.
8. Data sharing
Ventra may disclose information to service providers and other parties where necessary to provide requested functionality, process transactions, fulfil orders, coordinate delivery, provide support, prevent fraud, protect security, comply with law, or complete a business transaction.
Business information may also be visible to customers or other authorized users where that information is necessary for marketplace listings, ordering, fulfilment, delivery, support or other platform functionality.
Ventra does not intend to sell personal information as a commercial data-broker product.
9. Security
Ventra uses technical and organizational safeguards intended to protect information from unauthorized access, alteration, disclosure, loss or destruction.
- secure authentication;
- controlled access to business and customer information;
- server-side authorization;
- application-integrity and abuse-prevention controls;
- secure cloud storage and database controls;
- payment verification and transaction safeguards;
- role-based access and restricted administrative access;
- controls for KYC and uploaded documents; and
- secure transport mechanisms provided by relevant infrastructure providers.
No electronic system can be guaranteed to be completely secure.
10. Application integrity
Ventra may use application-integrity and abuse-prevention services with Android Play Integrity to help protect backend resources from unauthorized or illegitimate application requests.
Application integrity controls are security measures and are not intended to replace authentication.
11. Data retention
Ventra retains information only for as long as reasonably necessary for the relevant purpose, transaction lifecycle, security, dispute resolution, accounting, taxation, fraud prevention, regulatory requirements or other lawful purposes.
| Data category | Operational retention target |
|---|---|
| Orders | 7 years after completion/cancellation |
| Financial/accounting/ledger records | 8 years or longer where legally/accounting required |
| Security/audit logs | 3 years |
| Ordinary notification records | 1 year |
| Returns and disputes | 3 years after resolution |
| KYC documents | While reasonably required for verification/compliance, and thereafter only where justified |
12. Account deletion
Businesses can submit an account deletion request through the Ventra Business application and through Ventra's external account-deletion request process.
A deletion request may identify the account, record the request, create an audit event, restrict new business activity while the request is processed and initiate the applicable deletion or anonymization workflow.
Deletion does not necessarily mean immediate destruction of every record. Financial, accounting, transaction, order, audit, return, dispute, fraud/security and legally required records may need to be retained for legitimate or legal reasons. Where continued retention is necessary, Ventra should retain only what is reasonably required and delete or anonymize information that no longer has a legitimate retention basis.
13. User privacy requests
Depending on applicable law, businesses may request access to applicable personal information, correction of inaccurate information, deletion where legally available, information about processing, or other legally applicable privacy rights.
Requests should be made through the account-deletion/request process or by contacting Ventra using the details below.
14. Changes to this policy
Ventra may update this Privacy Policy when application functionality, data categories, service providers, payment systems, legal requirements, retention practices or security/privacy practices materially change.
When material changes occur, Ventra should update the effective date and provide appropriate notice through the application or relevant public channel where required.
